How Many Office Chairs Does an Office Need? A Practical Planning Guide

For an office fit-out, chair quantity should be planned from the actual seating plan rather than from a simple room count. Start with the number of active workstations, then add meeting, reception and management seating.

Start with workstations

For open-plan offices, count the workstations that will be used at the same time. Each regular workstation normally needs one primary task chair. If a workstation is shared across shifts, plan around the real usage pattern instead of automatically buying two chairs.

Add meeting and visitor seating

Count the seats required around conference tables and in visitor or reception areas separately. Conference and visitor chairs have different priorities from daily task chairs, so mixing the quantities can lead to the wrong specification.

Plan management seating separately

Executive and director offices often need a different chair category and may also need visitor chairs. Treat these as a separate line in the request for quotation so the supplier can recommend the right models.
